FLEET COORDINATOR

The Role

Are you passionate about delivering outstanding customer service and managing fleet operations? As our Fleet Coordinator, you will be at the heart of our operations, ensuring our vehicles are maintained to the highest standards and that every customer interaction reflects our commitment to service excellence. You will oversee the entire rental process, from managing quotes to coordinating on-hire and off-hire activities, all while championing our team-centric approach.

Key Responsibilities

Fleet Management:
  • Ensure all necessary asset information is captured accurately in our innovative Fleet Management System (FMS).
  • Manage the procurement and maintenance scheduling of fleet assets, ensuring they meet our customers’ specifications.
  • Coordinate fleet builds and modifications, maintaining a keen eye for quality control throughout the process.
Customer Engagement:
  • Handle incoming customer inquiries via phone, email, and referrals, providing timely responses to quotes and rates proposals.
  • Cultivate relationships with clients, ensuring their needs are met and they feel valued throughout the rental process.
On-Hire and Off-Hire Coordination:
  • Manage the on-hire process, receiving purchase orders, creating hire agreements, and allocating vehicles as required.
  • Oversee the off-hire process, ensuring vehicles are returned, and inspected, and any necessary repairs or servicing are actioned swiftly.
Communication and Reporting:
  • Foster open communication with accounts and other departments to ensure all relevant information is shared effectively.
  • Prepare insightful reports on rental data, asset utilisation, and fleet performance metrics.

ACCOUNTS PAYABLE ASSISTANT

The Role

Are you detail-oriented and organised with a passion for finance? We’re looking for an Accounts Payable Assistant to join our team. You’ll play a key role in keeping our finances running smoothly, from processing invoices to maintaining supplier records and ensuring accurate billing. If you’re a proactive problem-solver who’s comfortable with multitasking and loves making sure every detail is spot-on, we’d love to hear from you!

Key Responsibilities

Invoice Processing:
  • Daily processing of invoices and updating of the accounts inbox.
Record Keeping:
  • Receive, match, and code invoices with purchase orders, and process them in Xero.
Customer Billing:
  • Ensure vehicle repair and maintenance charges are accurately billed to customers.
System Maintenance:
  • Maintain and update records in Xero and Hubdoc.
Reconciliations:
  • Reconcile supplier statements to invoices before making payments.
Payment Monitoring:
  • Track accounts to ensure timely payments.
Issue Resolution:
  • Investigate and resolve invoice discrepancies and issues.
Onboarding:
  • Conduct supplier and new client checks and facilitate onboarding.

What We’re Looking For:

  • Qualifications: Cert IV or Diploma in Finance or a Degree in Accounting is preferred.

  • Experience: Previous experience in a similar role is essential, with a background in the rental or mining industry being highly desirable.

  • Skills:
    • Strong attention to detail and excellent time management skills.
    • Proficiency in Xero and Hubdoc, with solid experience in Microsoft Office.
    • Great communication and organisational skills.
    • Ability to multitask and prioritise a diverse range of tasks effectively.
